Start with the path and the period
Name the customer path being reviewed, the dates covered and the records included. A report on estimate follow-up should not quietly include unrelated support messages or duplicate test inquiries.
Confirm what each state means. “Open” may mean waiting for the customer, waiting for the team or simply not updated. Those situations call for different actions.
Read a small, honest example

These categories total ten. They are an illustration, not a JetSynapse client result or a performance benchmark.
Separate the observation from the explanation
“Two estimates are waiting for our team” is an observation. “The team is understaffed” is a possible explanation. Check the records and speak with the responsible people before treating the explanation as established.
A missing update might mean work was missed—or that the work happened elsewhere. Fix the visibility problem without inventing an outcome.
Choose a bounded next action
Decision: reconcile the two team-owned estimates.
Owner: office lead.
Next step: confirm the current estimate version and assigned action.
Review: check those records at the next agreed review.
Outside this action: changing the offer or rebuilding the whole process.
Too many recommendations can leave the same uncertainty as no recommendation. Select the action that addresses the clearest supported gap, and record what would count as completion.
Know what the review cannot prove
A cleaner record does not establish more revenue. An improved response interval does not prove the system caused a sale. Keep activity, customer decisions, attendance and settled payments separate.

Check an AI-written explanation against the records.
If AI helps summarize the review, check the definitions, reporting period and underlying records behind each important statement. A sentence saying “bookings increased because follow-up improved” adds a causal explanation that a simple before-and-after count does not establish.
Separate the observed change, possible explanations and what evidence would help distinguish them. Retain missing records and exceptions in the review. A convincing narrative cannot turn an unverified booking into attendance or revenue. The source-checking method can help keep facts, gaps and proposed next steps apart.
