Find where the request gets stuck.
If you only know that people stop replying, trace one inquiry before diagnosing the problem. The result should identify the unclear step and the evidence you still need.
For a missed call, start with the callback coverage plan: who reviews it, who can respond and who covers an absence. If the customer cannot complete the form, use the form usability check before adding more follow-up.
Get enough information to choose a next step.
Use minimum useful intake when the team keeps asking for details the first request could have supplied. Then check service fit against the work, timing and coverage the business can actually offer.
If a person contacts you twice, compare the requests before combining them. A second message may correct the first request or describe a separate job. Aim for a usable request record, not simply fewer records.
Make the appointment state clear.
A confirmed appointment needs a handoff to the team doing the work. An opening offered to a waiting customer needs the waitlist decision guide; interest, an offer, a hold and a booking are different states.
